Exterior Cleaning at an Occupied Rental: What Should the Tenant Notice Say?

THE SHORT ANSWER
Tell residents what will be cleaned, when and where work will happen, what they need to prepare, whether anyone needs access through their home, and who to contact. Include a weather-update plan. A general cleaning announcement does not automatically satisfy the requirements for entering a tenant’s premises.
For an occupied rental in Halifax, Dartmouth, Bedford or elsewhere in HRM, a clear notice helps residents plan around the visit. “Pressure washing tomorrow” leaves too much unanswered: which windows should close, which parking spaces need clearing, and can someone still reach the entrance?
Confirm the scope with your contractor first. Yellow Wash’s appointment preparation guide assigns tenant communication and property readiness to the landlord or property manager. Use the template below after the work areas and access arrangements are agreed.
First, separate a work announcement from entry permission
An exterior-only visit and a visit through someone’s home need different planning. Do not promise “no entry required” until the contractor has confirmed the water source, equipment route and access. Yellow Wash’s concrete balcony cleaning, for example, requires access through the unit, an interior water source and power.
For entry relying on written notice, Nova Scotia’s current Standard Form of Lease requires a reasonable purpose, a stated date and time, and notice at least 24 hours and no more than 30 days before entry. The time must fall between 8 a.m. and 8 p.m. unless the tenant agrees otherwise. The notice must use an authorized delivery method; the form also permits a text to a number the tenant supplied for entry notices. Separate exceptions are listed in Statutory Condition 7A. [1]
Have the landlord or manager handle the applicable entry process. Do not treat a lobby poster, a general work window or silence from a resident as permission to enter. If the access rights for a rented yard, deck or balcony are unclear, confirm them with Residential Tenancies before scheduling entry.
What the cleaning announcement should cover
- Location and scope: name the building, affected elevations, entrances, windows, balconies or walkways. Avoid saying “all exterior areas” when only selected surfaces are included.
- Timing: give the service date, expected work window and preparation deadline. Identify phased areas separately where possible.
- Resident preparation: specify the windows and doors to close, belongings to relocate and exact parking spaces to clear. Give an approved alternative parking location if needed.
- Access during work: explain temporary work zones and the agreed route for residents and deliveries. Ask residents to contact the manager about mobility or access needs beforehand.
- Pets and personal items: keep pets away from the active work area and move only the items identified in the plan. Do not ask residents to carry heavy furniture or disturb bird waste.
- Contact and updates: give one building contact and say how residents will learn about a delay, cancellation or reopening.
Copyable tenant announcement
Replace every bracketed field and remove anything that does not apply. This is an operational announcement, not a statutory entry-notice form. Keep any required individual entry notice separate.

Manager checklist: assign each task before sending
Keep this responsibility table with the approved scope. On a phone, swipe sideways to see both columns.
| Who | What to confirm |
|---|---|
| Property manager / landlord | Confirm the scope and date; issue resident communications; handle entry requirements; arrange parking, gates, water and power; collect access concerns. |
| Cleaning contractor | Confirm the work zones, equipment access, water arrangements, resident precautions and weather decision process. Flag restrictions before the notice goes out. |
| Resident | Follow the specific preparation request; report access needs or existing concerns; keep clear of active work zones. |
| Manager and contractor together | Agree on entrance arrangements, who checks the site before work, how changes are communicated and who confirms areas can reopen. |
Yellow Wash notes that preventable readiness problems can result in an additional charge under its booking arrangements. Deal with these with the contractor before the visit; do not insert an automatic tenant penalty into the announcement or assume a contractor’s charge can be passed on.
If rain or cold weather changes the plan
For autumn HRM work, agree on a rescheduling contact and update method before the service day. The contractor should assess conditions for the actual task; a calendar date alone does not establish whether wet exterior work can proceed.
Send a clear cancellation or revised work announcement, including when residents may return belongings or vehicles. If the changed visit needs entry into a tenant’s premises, reassess the applicable notice or consent for the new date and time rather than assuming the original notice carries over.
After the visit, confirm which areas are finished, which remain restricted and whether a return visit is needed. Keep the notice, updates and completion record together. For a larger property, our condo cleaning scope guide helps define the work before arranging the resident communication.
Plan your rental property’s exterior clean
Send Yellow Wash your Halifax or HRM address, photos, proposed work areas, preferred timing and access restrictions. We will review the building-washing scope and logistics so your resident notice matches the agreed work. Specialist stain removal is included only when specified.
